Administrative Assistant Position - Downtown Law Firm

They provide a broad range of IP services with a particular focus on the preparation and filing of patent and trademark applications. They currently have an opening for an Administrative Assistant to join their energetic and passionate Administration team. 

 

The primary role of the Administrative Assistant is to ensure the seamless operation of the office through a wide variety of clerical responsibility and provide exceptional support to the Director, Administration & Human Resources. This is a full-time, in office position for Monday to Friday from 9:00 am to 5:00 pm.

 

The main duties of this position include: 

 

  • Provide administrative assistance to the Director, Administration & Human Resources  
  • Collect, sort and distribute all incoming mail and process outgoing mail, courier requests  
  • Assist legal teams with copying and scanning of documents  
  • Manage and track vacation requests for staff & lawyers  
  • Monitor office supply inventory levels and submit purchase orders to various vendors  
  • Provide reception relief coverage, including welcoming clients, answering the main telephone line.  
  • Other related duties 

 

 

The ideal candidate is able to work in a fast paced environment, extremely organized and can prioritize many tasks. 

 

  • Additional qualifications for this position:  
  • A minimum of 1 year of experience in a professional services environment.   
  • Commitment to providing outstanding customer service to clients and internal stakeholders 
  • Flexibility to work in different areas or take on a task on short notice.  
  • Exceptional attention to detail.  
  • Excellent communication (written and verbal) skills including the ability to apply a client and customer centered approach.  
  • Strong analytical and problem solving skills. 
  • Self-motivated with a strong sense of responsibility.  
  • Proficient at using Microsoft Office programs.  
  • Team player who has the ability to work independently.

Salary range for this role is $45,000-$50,000/year
