Communications & Administrative Assistant

Description:

The Communications and Administrative Assistant will provide organizational and administrative support to the Registrar and Deputy Registrar and off site Council (Board) members. The successful candidate must be a self-starter and will also be responsible for carrying out the basic communications needs of the College.

Duties and Responsibilities:

  • Professional correspondence via e-mail and telephone with members of the public, lawyers, committee and Council members  
  • Manage the office calendar and ensure that upcoming deadlines and projects are on track
  • Schedule and organize Council and Committee meetings, including the Annual General Meeting
  • Compile documents for Council meeting agendas and assemble them using Adobe PDF
  • Distribute and print Council agendas prior to meetings then attend meetings and take minutes
  • Prepare e-newsletters and e-blasts using Constant Contact for approval before distribution
  • Set up and manage surveys, votes and elections using Simply Voting
  • Provide general admin and tech support to the office and to Council and Committee members
  • Basic HR duties including updating the staff directory and organizational chart, onboarding new employees, and posting job ads for open positions on Indeed
  • Update the College website as required, including publication of new standards and policies
  • Cover reception duties as required (limited to planned vacation and unexpected absences)

Qualifications:

  • 2 years of administrative/executive assistant experience and LAA training
  • Outstanding organization and time management skills
  • Excellent communication and English language skills (oral and written)
  • Complete professional proficiency in Microsoft Office Suite and Adobe PDF
  • Basic understanding of HTML and CSS is preferred
  • Ability to work efficiently and independently with little supervision or direction
  • Ability to professionally deal with confidential or legal documents
  • Strong ability to learn to use new tools and a willingness to take on challenges
