Legal Administrative Assistant

Description:

The LAA will provide organizational, document management and administrative support to both the Complaints and Discipline processes of the company.

Duties and Responsibilities:

  • Process letters of complaint from the public about veterinarians
  • Provide document management, administrative and communications support for the staff lawyers, investigators and Investigation Committee (IC)
  • Compile documents for the IC meeting agenda (PDF bookmarking)
  • Schedule and organize IC meetings
  • Draft and implement IC minutes
  • Track all complaints and discipline case progression and conclusions (Excel and database)
  • Manage electronic and hard copies of all documentation
  • Answer phone calls and emails from veterinarians, the public, and investigators
  • Provide general and communications support to management
  • Assist with filing and archiving of College documents
  • Assist with other office duties as required

Qualifications:

  • Post secondary training to assist with legal documents, legal communication and confidential file management (successful LAA or paralegal program completion)
  • Excellent English language skills – oral and written
  • Ability to confidentially deal with sensitive information
  • Ability to professionally deal with difficult situations involving veterinarians and public
  • Ability to professionally deal with a large number of confidential or legal documents
  • Strong computer skills relating to word processing and document management (Microsoft Word, Adobe, Excel, PowerPoint, SharePoint and Outlook)
  • Polite, respectful, collegial, and attentive to detail
  • Ability to multi-task and prioritize daily, weekly and monthly work duties
  • Ability to work under time constraints both in a team and independently 
  • Minimum 2 years experience in professional regulatory organizations or in litigation firms
