Real Estate Legal Administrative Assistant

Essential Functions:

  • Preparing correspondence, presentations, spreadsheets and other documents using various Microsoft applications
  • Developing and maintaining filing systems (both hardcopy and electronic)
  • Opening and organizing new client files
  • Practice management including managing calendars, coordinating meetings, making travel arrangements and preparing expense reports
  • Entering dockets, billings, preparation of invoices and account letters
  • Preparing cheque requisitions and trust deposits/withdrawals
  • Maintaining up to date contact information
  • Liaising with lawyers, clients, external agencies and other staff members on various matters


  • Preferred 2 to 5 years of experience in a law firm environment supporting a busy commercial real estate practice
  • Understanding of procedure and terminology for commercial real estate transactions
  • Excellent organizational skills and the ability to multi-task
  • Impeccable proofreading, grammar skills and attention to detail
  • Service oriented, adaptable, and dependable
  • Ability to work well both independently and as a team member
  • Maintains professionalism, confidentiality and discretion
  • Strong written and oral communication skills
  • Professional work ethic and great attitude
