Who They Are Looking For

Our client is currently recruiting for a Legal Administrative Assistant/Paralegal. The successful candidate will be responsible for providing a variety of administrative, clerical and legal support to assigned securities lawyers.  This role is an opportunity for those looking to grow their career and have a desire to work on complex transactions and take ownership of files within a fast paced practice group.

Job Duties & Responsibilities

  • Assist with preparing general corporate and securities documents from written and oral instructions and precedents (eg. private placements, stock options and AGM’s)
  • Perform SEDAR filings (eg. news releases, financial statements)
  • Assist with completing and filing forms with TSX, TSX-V and the securities commissions in each province and territory as required
  • Complete PPSA searches and registrations
  • Assist with preparing and filing of reports of exempt distribution
  • Post time sheets (using Acumin accounting software)
  • Prepare invoices to clients (using Acumin accounting software)
  • File maintenance which includes, filing, file organization and opening and closing of files
  • Maintain bring forward system to ensure follow up and receipt of requested material/documents
  • Perform other related duties as required

Qualifications

  • Graduate of a Legal Administrative Assistant Program
  • Minimum 3 years’ experience as a corporate Legal Administrative Assistant. Experience in securities is considered an asset.
  • Proficient in Microsoft Office Applications
  • Excellent English oral and written skills
  • Excellent organizational skills, with the ability to work well under pressure
  • Able to manage multiple priorities while paying attention to details
  • Able to communicate with clients, lawyers and staff
  • Confident and dependable, with strong initiative and the ability to work both independently and in a team oriented atmosphere
  • Familiarity with the billing/invoicing processes in a legal environment would be an asset
