Intermediate Real Estate Legal Administrative Assistant

Our client is looking for an Intermediate Real Estate Administrative Assistant to join their team. 

Essential Functions:

  • File maintenance, including daily filing, file organization, opening and closing files
  • Practice mangement for the lawyers, including maintenance of client lists, bring forward or tracking system
  • Assist with preparation of conveyance and other documents for real estate transactions, disclosure searches, Land Title Office documents and other due diligence searches
  • Manage trust accounting matters, cheque requistions, deposits
  • Compose letters and routine correspondence
  • Format, prepare and type letters, memoranda, and various legal documents from copy, rough draft and dictating machine
  • Maintain calendars
  • Prepare confidential and sensitive documents
  • Handle incoming and outgoing mail
  • Answer client telephone calls and general inquiries
  • Diarize dates independently
  • General administrative duties, including entering timesheets and coordinating biling cycle to sending out accounts
Qualifications for Employment

Knowledge, Skills and Abilities
  • Proficient in BC Online
  • Legal terminology and legal forms within the context of real estate law
  • Business English, spelling, punctuation and grammatical usage
  • Office practices, procedures and equipment
  • Elite Accounting Software, FileSite and Word/ Outlook experience preferred
  • Minimum 5 years experience as a Legal Administrative Assistant in a Real Estate Practice
Skill Set
  • Excellent organizational and time management skills required
  • Reliable, responsible, self-motivated and able to function independently, taking initiative where appropriate
