Legal Administrative Assistant - Commercial Litigation

Summary of Position:

This is a full-time position as a Litigation Legal Administrative Assistant working in their Advocacy and Litigation practice group.


This position is an excellent opportunity for a flexible and motivated self-starter who enjoys working in a collegial and challenging work environment.  Responsibilities include but are not limited to:

  • Assisting in the efficient and proactive management of lawyer’s practices, i.e., opening files, arranging meetings, compiling expense claims, drafting routine correspondence and documents on behalf of lawyers;
  • Drafting, filing and tracking pleadings, prepare court applications and related materials;
  • Ordering, receiving, organizing, reviewing and summarizing List of Documents;
  • Awareness of processes and deadlines for serving and filing court documents
  • Dockets and preparing monthly accounts;
  • Liaising with clients by obtaining information and instructions from and forwarding to lawyers;
  • Managing bring forward system and keeping lawyers apprised of office matters;
  • Scheduling trials, discoveries and mediations and communicating with court registries
  • Organizing and assembling chambers records, books of authorities, appeal records and appeal books
  • Providing support to lawyers and staff as required and requested;
  • Other administrative duties as required, such as maintaining legal professionals’ calendars, contacts and travel arrangements


The ideal candidate will have:

  • Post secondary diploma or certificate in legal administration
  • A minimum of 5 years previous litigation experience
  • Strong administrative, organizational, interpersonal and communication skills (oral and written)
  • Strong working knowledge of court rules and procedures
  • Paralegal Certificate is an asset
  • Exceptional aptitude for software and systems
  • Proficient in Microsoft Office 2007 with advanced skills in Word (i.e., familiarity with charts, automatic paragraph numbering and tables), Excel and PowerPoint
  • Superior organizational/document management skills with outstanding attention to detail
  • Team player with flexible attitude, the ability to establish priorities and who can work well under pressure
  • Specific experience in commercial litigation, insurance defense, and bankruptcy and insolvency would be an asset
  • Flexibility with respect to working occasional overtime on an as-needed basis

The successful candidate must be an enthusiastic individual who is a strong team player, proactive and takes initiative. A flexible attitude as well as keen attention to detail including thorough proofreading skills is essential. They are looking for a Legal Administrative Assistant who is able to interact with colleagues and clients in a collegial, professional and collaborative manner. Previous Litigation experience is a must.
