(1-year contract) Corporate Legal Admin Assistant with Wills & Estates experience

Our client is a full-service, mid-sized law firm comprised of innovative people who are committed to providing exceptional service and outstanding results for their clients.  They are currently looking for a legal administrative assistant with experience in the area of Corporate Law & Wills & Estates to fill a one-year maternity/parental leave contract starting sometime at the end of July/early August.

Essential Functions:

  • All aspects of a legal administrative assistance to a senior lawyer who practices in the area of corporate commercial trusts, wills & estates and manage all aspects of the legal practice and related matters and
  • Managing files and documents; coordinating with support services and clients, other law firms, expediting paper flow; maintaining schedules and deadlines; generating status reports, logs, and indexes; processing necessary documents and payments;
  • Assist in scheduling appointments and meetings.                                                                                                                                                                                                                                                              
  • Initiating and administering systems and processes to manage files, work load & follow up.
  • Preparation of accounts, reporting letters to clients and document briefs.
  • Knowledge and familiarity with the following would be an asset:
    • All matters in respect of information gathering and preparation of draft Wills.
    • Integral involvement and support with lawyers practice and related activities
    • All matters in respect of the administration of Estates including: making inquiries and searches concerning deceaseds assets, preparing all probate application documents for execution, including Notices, Affidavits, and correspondence with clients and beneficiaries, notices in newspapers, and transfers of all estate assets into the name of the personal representative.
    • All matters in respect of the drafting and implementation of trusts including preparation of documents and reporting letters to clients and financial institutions


  • Possessing the interpersonal skills necessary to communicate in person, by e-mail and telephone with lawyers, clients and others with courtesy, tact and discretion.
  • Possessing knowledge of legal principles and practices at a level normally acquired through formal training or its equivalent.
  • Ability to proofread typed material for contextual, grammatical, typographical or spelling errors.
  • Intermediate to expert skills with Microsoft Word and Outlook.

 Typical Duties & Responsibilities:

  • Dicta-typing
  • Drafting correspondence and handling documents
  • Arranging appointments
  • Communicating with clients and opposing counsel
  • Maintaining a bring forward system
  • BC Online searches – Company searches; title searches; BC Assessment searches etc.
  • Drafting bills and lists of documents 
  • Preparing basic reporting letters and document briefs
